FAQ

What it is

What is Midland, and why would a team use it?

Every AI tool your team uses starts from zero. It guesses what your words mean, which numbers count and how you like things done, and each person corrects it in their own way. Midland is one place where your team writes those things down once, each with an owner. Every AI tool you connect reads from the same place, so the answer no longer depends on who asks or which tool they use.

How is this different from a shared drive or a wiki?

A drive or a wiki is built for people to browse. It holds everything, often in several versions, and an AI searching it finds whatever matches, old or new. Midland holds only what your team has agreed is the answer, kept short, with an owner and a note on when to use it. Keep your full documents where they are, and put the agreed answer here.

What does Midland not do?

Midland does not answer questions itself. The AI tool you already use does the thinking, and Midland gives it your team's facts. It does not search the internet or your drives, only what your team put in. It does not check that what is written is true; it records who wrote what, and the owner of each item keeps it right. It is not a task tracker, and it is not a store for every file you have.

Which AI tools does it work with?

Any AI tool that lets you add a custom connector (often called an MCP connector). That includes Claude, Codex and most other major AI tools, though some allow custom connectors only on certain plans, so check yours. Adding Midland takes a few minutes. Automated jobs can write to it too, for example a nightly job that records a number.

Do I need to be technical?

No. You use Midland through the AI tool you already have, in plain language: "Set up Midland for our team", "What does active client mean here?", "Save this to Midland." Someone adds Midland to your AI tool once, the way you would add any other connector. A web app lets you look through everything and change settings.

Trust and control

Is our data safe, and is it used to train AI?

Your content is kept safe and stays private to your workspace. It is stored in Sweden, in the EU. We do not train AI models on it. When your AI tool reads from Midland, that tool handles what it reads under your agreement with its provider.

Who can see what?

Everyone in your workspace can see an item, and so can the AI tools they connect, unless its owner has made it private. In the web app, an item's owner can limit who reads it and who changes it, down to just themselves or people they name. Anyone left out does not see the item at all, and neither does their AI.

Who decides what goes in, and who can change it?

Anyone in your workspace can add something. Each item has an owner, usually the person who knows the subject best. By default every member can change every item, so owners should limit who changes the ones that matter, such as pricing or the instructions every AI follows. Only the owner can tighten that, and Midland records who made each change.

Can someone use Midland to change how every AI behaves?

Yes, through instructions, so treat them with care. Whoever can edit a set of instructions is in effect instructing every AI in the workspace, so limit who can edit each one. Everything else in Midland, such as documents, notes and transcripts, reaches an AI as information to read, never as orders to follow.

Will my AI save or change things without asking me?

The saving instructions that come with Midland tell your AI to say what it will save and where, then wait for your yes, unless you asked it to save and gave it everything it needed. Your AI follows the same rules you do, so it can only change what you are allowed to change. It can remove a single entry from a collection when you ask, but taking a whole item out of use, or deleting it, is done by a person in the web app.

What happens when something in Midland is wrong or out of date?

Tell the owner, or fix it yourself if you are allowed to. Every AI gets the corrected version the next time it reads. If a change was a mistake, open the item's history in the web app and save an earlier version as the new one. An owner can say how often an item should be updated, such as weekly, and every AI that reads it sees that and when it was last updated. Automatic maintenance is coming after launch: scheduled checks that catch content going out of date without someone doing it by hand.

Isn't this one more thing to keep up to date?

Yes, a little. In return you keep a few things up to date in one place, instead of correcting every AI in every chat. Keep it small: only what people actually ask about, each with one owner. If nobody would notice an item was wrong, it probably does not belong here. Automatic maintenance is coming after launch, so scheduled checks will take on part of the upkeep.

Getting started

How do I get a workspace?

Sign up with your email address and follow the link we send you. Each person belongs to one workspace, so if your team already has one, ask someone there to invite you instead.

How long does it take to get going?

Adding Midland to your AI tool takes a few minutes. The first setup session leaves you with a handful of items the whole team can use. The value shows once people ask questions their AI can now answer, and save new things as they come up.

What should we put in first?

The things you explain over and over. That is usually a few words your team uses in its own way, one or two numbers people keep asking for, and how you write to clients. Start with five to eight of these, not everything you have. Ask your AI to "set up Midland for our team" and it will walk you through it, creating nothing until you approve the plan.

I connected my AI tool, but nothing gets saved. What went wrong?

Usually one of two things. The chat you used may not have Midland connected: your AI can still read Midland's public help pages and sound right, but it cannot save anything, so open a chat with Midland attached and try again. Or your AI described saving something without doing it, which smaller AI models sometimes do. Check the web app: if nothing appears there, ask your AI again, or switch to a more capable model.

Will my AI always check Midland before it answers?

Not always. AI tools decide for themselves when to look something up. A standing instruction in your AI tool helps, written in your own words, for example: "For our terms, numbers and ways of working, check Midland first." Without one, say "check Midland" when it matters.

How do we know it is working?

Ask the same question in two AI tools, or from two colleagues' accounts, and compare the answers. The web app shows how often each item is read, so you can see what your team's AI actually uses. Over the first weeks, notice whether people ask "what do we mean by..." less, and whether AI drafts need fewer corrections for facts and tone.

Can we take our content with us if we stop?

Yes. Your content is yours, and you can take all of it with you.
